The Travel & Expense Supervisor plays a pivotal role in overseeing and managing all aspects of travel and expense reporting within Avis Budget Group. They are responsible for ensuring compliance with company policies and procedures, optimizing travel arrangements, and streamlining expense reporting processes. This role involves supervising a team of travel coordinators and expense analysts, providing guidance, training, and support to ensure efficient and accurate handling of travel and expense-related matters.

What you'll do:

Policy Compliance: Ensure adherence to company travel and expense policies and guidelines. Review and update policies as necessary to reflect regulatory changes and best practices.

Team Management: Supervise a team of travel coordinators and expense analysts. Provide leadership, guidance, and support to team members, fostering a positive and collaborative work environment.

Expense Reporting: Manage the expense reporting process, including the review and approval of expense reports, ensuring accuracy, completeness, and compliance with company policies. Provide guidance to employees on proper expense coding and documentation.

Systems Administration: Oversee the administration and maintenance of travel and expense management systems. Ensure the integrity and security of data, troubleshoot technical issues, and implement system enhancements as needed.

Budget Management: Monitor and track travel and expense budgets, identifying cost-saving opportunities and recommending strategies for optimization. Prepare regular reports and analysis on travel and expense spending for management review.

Training and Development: Develop and deliver training programs for employees on travel and expense policies, procedures, and systems. Provide ongoing support and guidance to ensure compliance and efficiency.

Audit and Compliance: Conduct regular audits of travel and expense transactions to identify discrepancies, errors, or potential fraud. Collaborate with internal audit and compliance teams to ensure regulatory compliance and mitigate risks.

Continuous Improvement : Drive continuous improvement initiatives to enhance the efficiency and effectiveness of travel and expense processes. Identify areas for automation, standardization, and process optimization.

What we are looking for:

  • Bachelor's degree in Business Administration, Finance, Accounting, or related field.
  • Previous experience in travel management, expense reporting, or related field.
  • Strong knowledge of travel industry practices, including booking tools, travel policies, and supplier negotiations.
  • Excellent organizational, analytical, and problem-solving skills.
  • Proficiency in travel and expense management software, such as Concur, or similar systems.
  • Leadership experience with the ability to effectively manage and motivate a team.
  • Excellent communication and interpersonal skills, with the ability to interact with employees at all levels of the organization.
  • Attention to detail and a commitment to accuracy and compliance.
  • Ability to multitask, prioritize workload, and meet tight deadlines in a fast-paced environment.
